Executive events, provisioned

Connecting the right people together

Quartermaster Studio plans executive dinners and private events where the guest list is the strategy. Every seat, every course, every introduction is provisioned down to the last detail, so the only thing you think about is the conversation.

One point of contact from first brief to final toast.

Professional planning services

Everything handled, down to the seating chart

Three services, one standard: the room works, the timeline holds, and you never touch a vendor spreadsheet.

No. 01

Full-Service Event Planning

A comprehensive solution covering concept development, budgeting, vendor coordination, and on-site management. You approve the vision; we provision everything beneath it.

No. 02

Venue Sourcing and Negotiation

Identification of optimal venues followed by contract negotiation to secure favorable terms. We know which rooms photograph well, seat twenty comfortably, and answer the phone at 6pm.

No. 03

On-Site Coordination

Implementation of the event plan during execution, ensuring adherence to the established timeline. Our team runs the room so your team can work it.

Precision in every detail

A decade of rooms that ran like clockwork

For over a decade, the firm has delivered meticulously planned events that align strategic objectives with memorable experiences. The method is unglamorous: lists, confirmations, backups for the backups.

How an engagement runs

From brief to final toast

A structured process, the same one we have refined over hundreds of rooms.

I.
The Brief
A structured meeting to evaluate requirements, propose tailored strategies, and outline deliverables. We learn the objective, the guest list, and the outcome that matters.
Week 0
II.
The Manifest
Venue, vendors, run-of-show, confirmations. Every detail provisioned, every contract negotiated, every dietary note logged before a single invitation goes out.
Weeks 1 to 4
III.
The Room
On-site coordination and timeline execution. Our team runs the room invisibly while your team works it: seating, courses, introductions, all on cue.
Event day
IV.
The Follow-through
No-show chasing before, thank-yous after, and a short debrief on what the room produced. The event ends; the relationships do not.
After
The honest math

Hire in-house, or book us per dinner?

An in-house hire means a salary, a ramp, and a year before the first guest sits down. An agency means one number per dinner. Our ROI calculator puts your own figures in and shows what each path actually risks.

Run your numbers
The quartermaster standard

Three rules we never break

Rule one

You hold the contracts

Venue, food, AV, and gifting are contracted directly by you. You keep the pricing leverage, nothing is marked up, and the saving is on the people, not the program.

Rule two

One number per dinner

Our fee is quoted per dinner booked, not per hour, per head, or per revision. The number you approve is the number you pay.

Rule three

The room is the product

Twenty guests, one seating, introductions that matter. If an event does not move a relationship forward, it was catering, not strategy.
